Urban Homeworks is seeking an experienced HR and Executive Associate, a critically important hybrid-role, combining certain elements of an HR Generalist, Office Assistant, and Executive Assistant. This mission-critical position operates at the hub of a dynamic and innovative team in a fast-paced work environment.
Primary Responsibilities:
Human Resource Coordination and Administration (35%
• Recruitment and Intake – Participate in and manage at times, the scoping, posting, and recruiting for various full-time and contract positions as well as the phone screening and interview process. Candidate communication and interview scheduling.
• HR Projects and Support – Potential to include ad-hoc HR projects as needed, including compliance projects and performance review process support as time allows.
• New Hire Experience – Project manage a best-in-class new hire onboarding experience from the point of hire to the end of the 2nd week on the job. Components to include all HR related compliance items with a key focus on employee preparation, integration, and engagement that will delight incoming employees. To be developed with key stakeholders (Employee, HR Manager, Hiring manager, etc.) in mind.
Office Coordination (15%)
• Front Desk/Reception – Serves as primary back-up receptionist for the building, greeting all guests with respect, courtesy, and presence that reflects the values of Urban Homeworks.
• Office Projects and Support – Potential to include ad-hoc Office projects as needed, including but not limited to office maintenance projects and support for All-Staff activities as time allows.
Executive Support (50%)
• Maintains complex calendar – anticipates calendar requirements and schedules appointments, meetings, and conference calls. Often juggling demands and priorities. Heavy admin support for Deputy Director. Light admin support/scheduling for Director Team with group meetings and external parties.
• Board Support – Coordinate timely communication, logistics, and materials for boarding meetings and the board members themselves. Attends meetings, records minutes, prepares and coordinates resolutions, and preforms other administrative functions as directed.
• Board Prep – Maintains board manual, provides and prepares board packets for meetings, coordinates food prep, and may take on additional board related projects.
• Other administrative projects or deliverables as appropriately assigned.
• May arrange travel logistics and prepare expense reports for executives.
• Creates and maintains efficient processes and systems for filing, reporting, and managing information for easy accessibility and use.
• Prepares executives for meetings by compiling necessary resources and anticipating needs. Tracks and performs follow-up activities and deliverables.
• Committed resolve for the Urban Homeworks mission and for the communities in which Urban Homeworks is implementing its community development strategies.
• Substantial experience in a senior executive assistance and/or HR administration role.
• Post-secondary education preferred
• Excellent computer software skills including Microsoft Office Suite (Outlook, Word, Excel and Power Point). Strong aptitude with technology is a plus.
• Excellent organizational and time management skills and the flexibility to quickly adapt priorities in a changing environment and among competing demands for time.
• Strong drive and ability to meet deadlines and complete work in a timely and accurate manner.
• Strong orientation toward processes and systems; the ability to develop enterprise-wide solutions, understanding their interconnectedness, and achieving win-win results.
• Strong skills in problem solving, decision making and conflict resolution to independently resolve complex issues and gain agreement among differing perspectives.
• Highly developed communication skills, both verbal and written, to understand and relay complex and sensitive information, to write in a concise and compelling manner, and to effectively communicate to a broad range of people with varying backgrounds.

• Competitive Salary commensurate with experience and qualifications.
• Paid Time Off:
o Vacation Pay accrued at an initial rate of 11 days per year.
o Sick Leave accrued at a rate of 12 days per year.
