Job Description:/h3:
Position Overview:
The Facilities Office Administrators primary responsibility is to oversee the daily vendor support services and administrative functions of our Maple Plain facilities. Duties include scheduling of internal and external work orders and repairs, PO creation, vendor engagement and setup, field walks, quality assurance and associated reporting. The role will be site based role in Maple Plain and will provide to support to other nearby sites in order to provide consistent level of service
Specific duties include:
:Assist in defining service providers requirements, preparing scope, RFPs, selecting vendors, monitoring KPI execution, and periodically re:evaluating service contracts.
:Manage facility and department vendors such functions as security, food service/vending, cleaning, confidential shred, copiers, records retention, and others as required to ensure excellent
coordination/execution of work with minimal disruption.
:Work with members of the Facilities group to distribute, assign and monitor the execution of work orders
:Develop and maintain the Facilities Reference Handbook for communicating to employees and provide to all new hires
:Develop and maintain Event
Management/Response Handbook
:Administer security programs; card access database, brass keys, security cameras, issue IDs
:Communicate company:wide facility information impacting employees.
:Prepare annual operating expense budgets, reforecasting budgets, capital expense plans.
:Track, code and submit for approval expense invoices.
:Coordinate as the Facilities Point of Contact with the Administrative Assistants, HR and Marketing for specific company activities and events that require Facilities assistance. (ie: Mfg. Day, Summer Picnics, Customer Visits)
:Work with Marketing on implementing Branding opportunities within the buildings (signage, displays), establishing one consistent brand message for all Proto Labs facilities.
:Responsible for data integrity of electronic contract database and physical contract files. Oversee maintenance and enhancement of central contract database.
:Administer and maintain supplier files, certificates of insurance, contracts, and related documents
:Work with the Facility Planner regarding new hire onboarding and Move/Add/Change request
:Work with the Facilities Manager and Director of Facilities for maintenance and special projects.
:Perform additional tasks as assigned.
Minimum Qualifications:
:Proficiency with Microsoft Office products
:Three years relevant experience
:Excellent written and oral communication skills
:Ability to multi:task and problem solve
:Able to occasionally modify work schedule to work afterhours to accomplish various tasks
:Experience in finance and contract administration
Education Requirements:
:Two year degree in Business or Office Administration or similar
