Provide direct administrative support to busy top company executive. Answer, screen, manage and route phone calls as appropriate. Maintain personal, confidential and business files. Coordinate business and personal schedule including booking travel and reconciling expense reports. Extensive appointment management and maintenance of personal and business calendar. Attend various meetings, taking and distributing notes. Organize company events and partner with other team members to execute planned activities. Coordinate with senior leadership and other administrative staff to ensure processes are completed as expected (i.e. performance reviews, hiring executive staff, etc.). Miscellaneous duties such as running errands, coordinating holiday cards and giftpacks, and leading the movement to eletronic files in the Executive Suite. Special projects as assigned.

Job Requirements

Minimum of 5 years’ experience, as an assistant to senior level executive in a fast-paced demanding environment. Detail and action-oriented, organized, possess excellent time management, communication, organizational, multi-tasking and problem-solving skills. Ability to maintain confidential information. Business savvy and expertise in verbal/written communication skills with external and internal clients. Commitment to provide superior customer service. Anticipates needs and is proactive, motivated and has a "can do" attitude, taking initiative on projects. Willingness to go above and beyond; covering some personal tasks. Ability to work with various personalities and resolve conflicts. Strong PC skills covering all Microsoft Office applications.
